Privacy Policy

This Privacy Policy describes how CSM Integrated Solutions LLC collects, uses, and protects personal information in connection with the OwnerAI website (owneraitools.com), our phone lines, and the AI receptionist services we provide ("Services").

1. Information We Collect

Information you provide directly: name, business name, phone number, email address, mailing address, and any details you share when you contact us by phone, email, web form, or when you book a call with us.
Call information: when you call our phone lines (including our demo line) or when our AI receptionist answers calls on behalf of a client business, calls may be recorded and transcribed. We collect the caller's phone number, the contents of the conversation, recordings, transcripts, and automated summaries.
SMS information: if you opt in to text messages, we collect your mobile number and your message history with us.
Technical information: standard website logs such as IP address, browser type, pages visited, and referring pages, used for site operation and analytics.

2. How We Use Information

To provide, operate, and improve the Services, including answering calls, capturing messages, scheduling appointments, and delivering call summaries to our clients.
To respond to your inquiries and schedule requested calls or demos.
To send service-related communications, including SMS messages you have opted in to receive.
To train and improve the accuracy of the specific AI receptionist configurations we operate. We do not sell your data or use it to train third-party public models.
To comply with legal obligations and enforce our agreements.

3. Call Recording Notice

Calls to and from our phone lines, including calls handled by our AI receptionists, may be recorded and transcribed for quality assurance, service delivery, and record-keeping. Where required by law, callers are notified and/or consent is obtained before recording.

4. How We Share Information

We do not sell personal information. We share information only with:

Service providers that help us operate the Services (e.g., telephony and SMS carriers, voice AI infrastructure, email delivery, cloud hosting, and scheduling providers), bound by confidentiality obligations and permitted to use the information only to provide services to us.
Our clients: when our AI receptionist answers a call on behalf of a client business, the information the caller provides (such as name, number, and reason for calling) is delivered to that business.
Legal authorities when required by law, subpoena, or to protect our rights, safety, or property.

SMS consent is never shared or sold. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All categories of personal information described above exclude text messaging originator opt-in data and consent; this information will not be shared with, or sold to, any third parties.

5. Data Retention

We retain personal information, call recordings, and transcripts only as long as needed for the purposes described above, to serve our clients, and to meet legal and accounting requirements. You may request deletion of your information at any time using the contact details below, subject to legal retention obligations.

6. Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect personal information, including encryption of data in transit and at rest with our infrastructure providers. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Choices & Rights

You may opt out of SMS messages at any time by replying STOP (see SMS Terms below).
You may request access to, correction of, or deletion of your personal information by contacting us at info@owneraitools.com.
Depending on your state of residence, you may have additional rights under applicable privacy laws. We honor verified requests as required by law.

8. Cookies & Tracking

The owneraitools.com website uses cookies and similar technologies for analytics and advertising. When you first visit, a consent banner lets you accept or decline these cookies; no analytics or advertising cookies are set unless you accept. You can change your choice at any time using the "Cookie settings" link in the footer of any page.

The cookies we use, when you consent, are:

Essential: a single first-party cookie that remembers your cookie choice for 12 months. This is set regardless of your choice and contains no personal information.
Analytics — Google Analytics: helps us understand how visitors find and use the site (pages viewed, traffic sources, approximate location). If you decline, Google receives only aggregated, cookieless signals that cannot identify you.
Advertising — Google Ads: measures whether our ads led to a visit, call, or booking, and may be used for remarketing. Opt out of Google's personalized advertising at adssettings.google.com.
Advertising — Meta (Facebook/Instagram) Pixel: measures ad performance on Meta platforms and may be used for remarketing. The Pixel loads only if you accept cookies. Manage your Meta ad preferences at facebook.com/adpreferences.

Our hosting provider also collects standard server logs (such as IP address and pages requested) for security and site operation, and our font provider serves font files without setting cookies. Some browsers offer a Global Privacy Control (GPC) signal; where required by applicable law, we honor it as an opt-out of targeted advertising.

9. Children's Privacy

The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Effective date" above reflects the latest revision. Material changes will be posted on this page.

SMS Terms & Conditions

These SMS Terms & Conditions govern the text messaging programs operated by CSM Integrated Solutions LLC in connection with OwnerAI ("OwnerAI Communication"). A standalone copy is also published at owneraitools.com/sms-terms.

1. Program Description

When you opt in, we may send you text messages related to the Services, including:

Appointment confirmations, reminders, and scheduling updates;
Responses to your inquiries and requested information (e.g., links, addresses, or booking pages sent during or after a call);
Follow-ups related to a call you placed to us or to a business we answer for;
Sample demo messages you expressly request during a demo call (e.g., an example of the lead-alert text a business owner would receive);
Conversations you start by texting our number, including booking requests and product questions answered by our AI receptionist;
Customer care and account notifications.

This is a conversational, transactional program. We do not send recurring marketing or promotional campaigns through this program.

2. Opt-In

You consent to receive text messages when you: (a) provide your mobile number and expressly request or agree to receive texts during a phone call with us or with an AI receptionist we operate; (b) submit your number through the callback form on our website at owneraitools.com and check the unchecked consent box agreeing to be contacted by text; or (c) text us first. Consent to receive text messages is not a condition of purchasing any goods or services.

3. Message Frequency

Message frequency varies based on your interaction with us (for example, one confirmation and one reminder per appointment). No recurring marketing message schedule applies unless separately disclosed and agreed to.

4. Message & Data Rates

Message and data rates may apply according to your mobile carrier plan. Contact your carrier for details.

5. Opt-Out

Reply STOP to cancel. Text STOP to any message to stop receiving texts from us. After you send STOP, we will send one final message confirming that you have been unsubscribed. No further messages will be sent. Reply START to re-subscribe at any time.

6. Help & Support

7. Privacy

Information collected through the SMS program is handled as described in the Privacy Policy above. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Text messaging originator opt-in data and consent will not be shared with, or sold to, any third parties.

8. Carrier Disclaimer

Carriers are not liable for delayed or undelivered messages. Supported carriers include all major U.S. carriers; service may not be available on all networks.

9. Changes to These Terms

We may update these SMS Terms from time to time. Continued participation in the program after changes are posted constitutes acceptance of the revised terms.
